Event Venue Rental Agreement

This Event Venue Rental Agreement ("Agreement") is made and entered into by and between Ligons Legacy Group, LLC DBA Legacy Transfers ("Venue Owner") and the undersigned individual or entity ("Renter"). This Agreement sets forth the terms and conditions governing the rental of the event venue located at 1206 E Houston St. Cleveland, Texas 77327 ("Venue").

1. Rental Fee and Payment Terms

Rental Fee: $1,500.

Deposit: A non-refundable deposit of 50% of the total rental fee is required to secure the booking. The balance is due no later than 14 days prior to the event date.

Security Deposit: A refundable security deposit of $200 is required to cover potential damages. This deposit will be refunded within 5 business days after the event, provided no damages or additional charges are incurred.

2. Cancellations

By Renter: Cancellations made more than 30 days before the event will be eligible for a full refund, minus any expenses incurred for custom shirts included in the package. Cancellations made within 30 days of the event will result in the loss of the security deposit in the amount of $200 plus any expenses incurred for décor and custom shirts included in the package.

By Venue Owner: The Venue Owner reserves the right to cancel the rental due to unforeseen circumstances. In such cases, all payments, including the deposit, will be fully refunded.

3. Venue Rules and Regulations

Maximum Capacity: The Venue’s maximum capacity is 50 guests. Exceeding this limit is prohibited and may result in immediate termination of the event without refund.

Setup and Cleanup: Venue Owner and its decor contractor(s) will handle the setup of tables, chairs, tablecloths, chair covers, table runners, centerpieces and a balloon backdrop. The Renter is responsible for all other setup and cleanup activities, which must be completed within the rental period.

Prohibited Items: Smoking, illegal substances, and open flames (excluding chafing dish burners) are strictly prohibited.

Kitchen Amenities: No kitchen amenities are available. Caterers or food providers must plan accordingly.

Damage and Liability: The Renter is responsible for any damage to the Venue or its contents during the rental period. The security deposit will be applied to any necessary repairs, with additional charges billed if damages exceed the deposit amount.

Decorations: No nails, tacks, or adhesives may be used on walls, floors, or ceilings. Balloons and other décor must be removed at the end of the event.

4. Indemnification - The Renter agrees to indemnify and hold harmless the Venue Owner from any liability, injury, or damage to guests or third parties arising from the use of the Venue.

5. Miscellaneous

Force Majeure: The Venue Owner is not liable for events beyond its control, including natural disasters, power outages, or other emergencies that may impact the event.

Governing Law: This Agreement is governed by the laws of the State of Texas.

By checking the box at checkout, the Renter acknowledges and agrees to all terms and conditions outlined in this Agreement. 


Terms and Conditions

1. Booking and Confirmation - The booking is not confirmed until the deposit is received and this Agreement is signed. Venue will send an electronic copy for signatures.

2. Event Conduct - The Renter is responsible for the behavior of all guests. Disruptive or illegal activities will result in immediate termination of the event without refund.

3. Noise Levels - The Renter must comply with local noise ordinances. Excessive noise may result in fines or early termination of the event.

4. Insurance - The Venue Owner reserves the right to request proof of event insurance, if deemed necessary.

5. Loss or Theft - The Venue Owner is not responsible for any loss or theft of personal belongings during the event.

6. Amendments - Any changes to this Agreement must be made in writing and signed by both parties.

By proceeding with the booking, the Renter agrees to abide by these terms and conditions.
